Learn how levels and age groups organize gymnasts for ranking, registration constraints, and scoring in GymArt Meets.

Overview

Levels and age groups are fundamental organizational structures in GymArt Meets that categorize and group gymnasts while providing granular control over ranking, registration constraints, and scoring methods.

Each gymnast is assigned to exactly one level, and each level can contain multiple age groups with multiple subdivisions within those age groups.

Creating and Managing Levels

Creating a New Level

To create a level, click the "Create Level" button from the Levels and Age Groups tab and enter the level name. The level will be automatically added to the level selection list.

Modifying Levels

Click on any level from the selection list to view and modify all its settings in the settings panel. This includes:

  • Level-specific settings

  • Age group configuration

  • Scoring preferences

  • Registration constraints

Important Level Management Rules

Deletion Restrictions

  • Cannot delete the only level in a meet - every meet must have at least one level

  • Cannot delete levels with gymnasts - every gymnast must be assigned to a level, so levels containing gymnasts cannot be removed

Default Age Group

Each level automatically includes a default "All Ages" age group that:

  • Cannot be deleted (ensures every gymnast has a valid age group assignment)

  • Can be hidden from public view if desired

  • Serves as a fallback for gymnasts that don't fit other age group criteria

Age Groups

Purpose and Function

Age groups divide gymnasts within a level into smaller, age-specific groups. This allows for:

  • Individual age group ranking - each age group can be ranked separately

  • Precise age divisions - age groups can be specified down to the month level (e.g., "8 years 6 months" to "9 years 5 months")

  • Age-based organization - gymnasts are automatically grouped by their birth dates

Subdivisions

Purpose and Function

Subdivisions provide an additional layer of organization within age groups, allowing you to:

  • Divide large age groups - split 60 gymnasts in an age group across multiple subdivisions

  • Session assignment - assign different subdivisions to different competition sessions

  • Individual subdivision ranking - using level settings to treat subdivisions as separate award groups

Subdivision Ranking Options

When "Treat Subdivisions as Award Groups" is enabled in level settings:

  • Each subdivision (e.g., 30 gymnasts) is ranked only within its subdivision

  • Even gymnasts in the same age group are ranked separately if in different subdivisions

  • Useful for large age groups that need to be split across multiple sessions

Example: Large Age Group Management

Scenario: 60 gymnasts aged 10-12 years old in one age group

Solution: Create 2 subdivisions:

  • Subdivision A: 30 gymnasts (assigned to morning session)

  • Subdivision B: 30 gymnasts (assigned to afternoon session)

Benefits:

  • Manageable group sizes for each session

  • Separate rankings within each subdivision

  • Maintains age group integrity while providing operational flexibility
