Overview

Sessions are the core organizational unit for gymnastics meets, allowing you to group gymnasts together so they can compete simultaneously in the venue. A session serves two primary purposes:

Flexible Organization: Sessions allow you to combine multiple competition levels and age groups into a single session, providing maximum flexibility for meet scheduling and venue utilization.

  1. Gymnast Organization: Add gymnasts through their competition subdivisions and assign them to squads (starting positions on each apparatus)

  2. Timeline Management: Provide detailed competition schedules, apparatus rotations, and timing information

Sessions can overlap in time, allowing for complex meet scheduling while maintaining organized competition flow.

Creating Sessions

Session Creation Process

  1. Navigate to Sessions

    • Go to your meet dashboard

    • Click on the "Sessions" tab in the sidebar

  2. Create New Session

    • Click the "New Session" button (➕) in the sessions header

    • This opens the session creation dialog

  3. Configure Session Details

    • Session Name: Enter a descriptive name for the session

    • Description: Optional detailed description of the session

    • Date: Select the day within your meet's date range

    • Start Time: Set the session start time (affects entire timeline)

    • Timeline: Choose from predefined timeline templates or customize

  4. Add Competitions

    • Competitions are subdivisions of age groups from your configured levels

    • Each level and age group combination creates a competition subdivision

    • Select which competitions (gymnast groups) to include in this session

    • Gymnasts from selected competitions are automatically added to the session

Grid Overview

The Sessions page displays all meet sessions in a card-based grid layout:

Session Cards Display:

  • Session Name: Primary identifier for the session

  • Date and Time: When the session is scheduled

  • Rotations: Overview of apparatus rotation assignments

  • Timeline: Summary of the competition schedule

  • Clubs: Participating clubs in the session

  • Levels: Competition levels included

Card Actions:

  • Session Dashboard: Large green button opens the detailed session dashboard

  • Quick Navigation: Click on rotation, timeline, or club sections to jump to specific views

  • Session Management: Three-dot menu (⋮) provides:

    • Delete Session: Remove the session and all assignments

    • Duplicate Session: Copy timeline and settings (without gymnast assignments)

Filtering Options:

  • Search by Name: Find specific sessions by name

  • Filter by Status: All, Upcoming, Past sessions

  • Filter by Level: Show only sessions with specific competition levels

  • Filter by Day: Display sessions for specific meet days

Dashboard Summary

When you open a session dashboard, you see a comprehensive overview:

Session Statistics:

  • Total Gymnasts: Number of gymnasts assigned to the session

  • Levels: Competition levels included in the session

  • Clubs: Participating clubs represented

Assignment Status:

  • Assigned Gymnasts: Gymnasts properly placed in squads and rotations

  • Unassigned Gymnasts: Gymnasts in the session but not yet assigned to squads

Session Components:

  • Squads: Organized groups of gymnasts with apparatus starting positions

  • Timeline: Detailed schedule with apparatus rotations and timing

  • Navigation Buttons: Quick access to different session management areas

Session Organization Features

Gymnast Management:

  • View all gymnasts included in the session

  • Check assignment status and squad placements

  • Manage unassigned gymnasts

Squad Organization:

  • Create and modify squads (rotation groups)

  • Assign gymnasts to specific starting apparatus positions

  • Balance squad sizes and club representation

Timeline Management:

  • Detailed apparatus rotation schedule

  • Timing for each rotation and apparatus
