Session setup checklist

Pre-session checklist for organizers — exports, score settings, and privacy configuration.

Run through this checklist before every session to make sure everything is printed, configured, and ready to go.

1. Export Session Materials

From the session dashboard, select the session(s) you need. Use the multi-select and multi-export functionality to generate everything at once.

• Score entry sheets — printed sheets for each apparatus and rotation (also used as a paper fallback if internet fails)

• Sign-in codes — QR codes or access codes for judges and volunteers

• Starting positions and rotations — so gymnasts and coaches know where to go

• Judge profile configurations (FIG sessions only) — batch export when you have multiple judges set up. This ensures each judge has the correct role and apparatus assignment printed out.

All of these can be exported through the session dashboard or through the multi-select feature on the session list.

2. Review Score Settings

Before competition begins, go through the score settings for each level. These settings affect how scores are calculated, ranked, and exported.

• Individual tiebreaker settings — verify the correct tiebreaker algorithm is selected for each level (see tiebreakers)

• Team score settings — verify team score count and selection method (see team score settings)

• Vault score decision — confirm whether you're using one vault, average, or best of two (see vault scoring)

• Score export defaults — the export uses the default values from your settings, but you can override them at export time. Double-check before generating final results.

Make a list of all the levels you need to review and go through them one by one. Be clear about what each level expects — this affects rankings and exported results.

3. Privacy and Display Settings

For gymnasts who should not have their information displayed publicly (your "blacklist"):

• Go to each gymnast's profile

• Disable video display — their routines can still be recorded, but the videos will not appear on the public results page

• Disable results display — their scores will not be shown publicly

• Disable rank display — their placement will not be shown publicly

Do this before the session starts. The system will still process their scores and videos internally, but nothing will be visible to the public online.
