Registration Overview

The gymnast registration process allows you to:

  • Import gymnasts from your existing club roster

  • Validate that gymnasts meet meet requirements

  • Modify gymnast details specifically for this meet

  • Handle meet-specific custom fields and settings

  • Ensure all gymnasts are properly prepared for registration submission

Accessing Gymnast Registration

  1. Navigate to the Registration Dashboard from the Find a Meet page of your club dashboard

  2. Use the sidebar to navigate to the Gymnasts page

  3. Click Add from club in the gymnast section header

  4. This opens the gymnast import interface

Importing from Club Roster

Prerequisites

  • You must have already imported gymnasts to your club roster

  • See: Importing Gymnasts for setup instructions

Import Process

  1. Club gymnast table - View all gymnasts from your club roster that aren't already registered

  2. Validation status - Each gymnast shows a validation icon:

    • βœ… Green checkmark - Gymnast data is valid and ready

    • ❌ Red icon - Gymnast has validation errors that need fixing

Individual Gymnast Management

Selecting Gymnasts:

  • Click the checkbox next to each gymnast you want to register

  • Use "Select All" in the table header to select all visible gymnasts at once

  • Only selected gymnasts will be validated and can be registered

Editing Individual Gymnasts:

  • Click on any gymnast's name or data field to edit their information

  • Changes are applied only to this meet registration

Validation Indicators:

  • Green checkmark βœ… next to name = gymnast is ready to add to your registration cart

  • Red error icon ❌ next to name = gymnast has errors that must be fixed

  • Hover over icons to see validation status details

Multi-Edit Functionality

Bulk Editing Multiple Gymnasts

Accessing Multi-Edit:

  1. Select multiple gymnasts using the checkboxes

  2. Click Multi-Edit button in the top-right of the table

  3. This opens the bulk editing interface

Multi-Edit Options:

  • Level - Apply the same level to all selected gymnasts

  • Club Name - Apply the same club name to all selected gymnasts

  • Custom Fields - Apply the same values to custom fields for all selected gymnasts

How It Works:

  • Leave fields empty if you don't want to change them

  • Only non-empty fields will be applied to selected gymnasts

  • Great for quickly applying the same level or settings to multiple gymnasts

Example Use Case:

  • You have 15 gymnasts all competing in "Level 3"

  • Select all 15, use Multi-Edit to set Level = "Level 3"

  • All gymnasts now have the correct level for this meet

Search and Filter Options

Finding Specific Gymnasts

Search Bar:

  • Search by gymnast name (first or last name)

  • Search by gymnast number or identifier

Filter Options:

  • Level Filter - Show only gymnasts with specific levels

  • Club Filter - Show only gymnasts with specific club names

Custom Fields Management

Meet-Specific Requirements

Custom Fields Display:

  • Additional columns in the gymnast table

  • May be required or optional depending on meet settings

  • Examples: allergies, shirt size, emergency contacts, dietary restrictions

Editing Custom Fields:

  • Click in custom field cells to edit values

  • Required fields must be completed before registration

  • Available in both individual edit and multi-edit modes

Multi-Edit for Custom Fields:

  • Select multiple gymnasts

  • Use Multi-Edit to apply the same custom field values to all selected gymnasts

  • Especially useful for consistent data like shirt sizes or medical information

Validation and Error Resolution

Common Validation Issues

Level Mismatch:

  • Your gymnast's default level doesn't match meet offerings

  • Solution: Use the level dropdown or multi-edit to select the correct meet level

Missing Required Fields:

  • Custom fields marked as required are empty

  • Solution: Fill in all required custom field information

Invalid Data:

  • Incorrect format in date fields or other constrained fields

  • Solution: Correct the data format or selection

Error Resolution Process

  1. Identify errors - Look for red error icons (❌) next to gymnast names

  2. Hover for details - Hover over error icons to see specific error messages

  3. Fix individually - Click on fields to edit individual gymnast data

  4. Use multi-edit - Apply fixes to multiple gymnasts at once when applicable

  5. Re-validate - All gymnasts should show green checkmarks (βœ…) before proceeding

Next Steps

Additional Validation Screening

Similar to the import phase, a red error icon (❌) may still appear next to gymnast names if they fail current validation logic, such as:

  • Age eligibility for selected levels

  • Meet-specific requirements not being met

  • Missing required information for the specific meet

Submission Process

Before Adding to Cart:

  1. Ensure there are no red error icons (❌) next to gymnast names

  2. Double-check all gymnast information for accuracy

  3. Verify all meet-specific requirements are satisfied

Adding to Cart and Payment:

  1. Only gymnasts with green checkmarks (βœ…) can be added to your registration cart

  2. Proceed to My Cart to review and complete payment

  3. Registration is submitted to meet organizer for approval

Modifications:

You can only modify gymnast information if they are:

  • Not yet submitted for registration

  • Have been rejected by the organizer

If gymnasts are pending acceptance, waitlisted, or accepted, you will no longer be able to modify their information through the registration form.

Music

Music selections can be modified before the registration music deadline, allowing you to change which music file is set as the primary music for each gymnast. This is important because:

  • If the meet requires music, specify a primary music file for each gymnast

  • You can specify their music by clicking the edit icon on their row in the gymnast table and using the 'Music' section at the bottom of the page

  • Music files must be uploaded and assigned through the gymnast's profile (see Editing & Managing Gymnasts) or your club's Music management system

Registration Errors:

If music is required for the meet, gymnasts without a specified primary music file will show a red error icon (❌) and cannot be added to your cart until this requirement is met.

After Registration

Status Tracking:

  • Submitted - Sent to organizer for review

  • Pending - Awaiting organizer acceptance

  • Accepted - Approved for the meet (payment processed if applicable)

  • Waitlisted - On waitlist pending acceptance

  • Rejected - Not accepted (can reapply or modify)
