This guide covers how to add subdivisions of athletes to a session in Gym Art Meets. More generally, this is one of two steps to add athletes to rotations:
Adding subdivisions of competitions to your session
Filling rotations with the athletes of the subdivisions
These steps can be automatically completed when you first create a session. Either way, it's important to know how the puzzle pieces work together so that you can make any necessary modifications afterwards.
Finally, since assigning athletes across rotations is quite involved, we have a dedicated guide for that here:
Below is an interactive guide to help you visualize the process of adding athletes to a session:
A subdivision of a competition is a (smaller) group of the athletes from that competition. In the case that there are more athletes than can fit in the venue at once (during a session), you need to make multiple subdivisions. Each subdivision is then assigned to a unique session.
Adding a competition's subdivision to your session will allow you to add its athletes to rotations in the Rotations section.
Only one subdivision per competition can be added, and one competition per category. You can however add multiple competitions from different categories and subdivisions.
Here are the step-by-step instructions for adding a competition to your session:
From the Schedules section, click Edit Session
From the Competitions section, click Add competition
Select the competitions and their subdivisions to add to this session
All competition and subdivision pairs that have not already been assigned to another session are displayed. The subdivision is displayed on the right of each tile.
You can only select one subdivision from a competition to add to a session
You can only select one competition per category
Click on the "Add Competitions" button.
The athletes from these competition subdivisions will now be available to be assigned to rotations from the "Rotation" page
When selecting competitions to add, we automatically filter out any competitions that have already been assigned to other sessions. If the list is empty, either you've successfully assigned all sessions!
Removing a subdivision from a session will also automatically remove any of its athletes from the rotations. This functionality is to preserve data integrity and cannot be turned off.
Removing a subdivision from a session will free it up to be added to other sessions
Here are the step-by-step instructions for removing a competition from your session:
Go to the Competitions page of your session.
Click on the Remove button of the competition you want to remove.
Confirm you want to remove the competition and its athletes from the session
The competition will now no longer be in the session, and none of it's athletes in the rotations
