Edit gymnast details, manage music files, identifiers, and keep roster information up to date.

Accessing the Edit Interface

From the Gymnasts Table

  1. Navigate to Participants > Gymnasts in your club dashboard

  2. Use the search and filter options to find the gymnast you want to edit:

    • Search by name - Type in the gymnast's first or last name

    • Filter by level - Select specific competition levels

    • Filter by club - Show gymnasts from specific clubs

  3. Click the Edit button on the gymnast's row in the table

Edit Interface Overview

The gymnast edit page contains three main sections organized in tabs:

1. Information Section

Edit the gymnast's core personal and athletic information:

Editable Fields:

  • First Name - Gymnast's given name

  • Last Name - Gymnast's surname

  • Club Name - The club the gymnast represents

  • Level Name - Competition level (e.g., "Level 1", "JO Level 5")

  • Discipline - Gymnastics discipline (WAG, MAG, or WAG+)

  • Date of Birth - Birth date for age calculations and eligibility

Additional Information Display:

  • Timestamps - Shows when the gymnast was created and last modified

Default Values for Meet Registration: The gymnast data stored here, including the name, club name, level name, discipline, and other details, serves as default values when registering for meets. However, these can be overridden during the registration process without modifying the central club gymnast data. This allows you to quickly prepare all your gymnasts for a meet while making meet-specific modifications as needed. This is especially important for levels - gymnasts have a default level, but if a meet doesn't contain a matching level name, you'll need to manually specify the appropriate level from the meet's available levels during registration.

2. Identifiers Section

Manage official and custom identification numbers:

Standard Identifiers:

  • Gym Art Number - Unique system-generated ID within the Gym Art ecosystem

  • USAG Number - USA Gymnastics membership number (if applicable)

  • FIG Number - International Gymnastics Federation number (if applicable)

Custom IDs:

  • Click Add ID to create custom identification fields

  • Name Field - Label for your custom ID (e.g., "State ID", "School ID")

  • Value Field - The actual ID number or code

  • Multiple Custom IDs - Add as many custom identifiers as needed

Example Custom IDs:

  • State association numbers

  • School or team identification codes

3. Music Section

Manage floor music files associated with the gymnast:

Music Management Features:

  • Attach existing music - Select from your club's music library

  • Upload new music - Add new MP3 files to your club library

  • Multiple files - Attach multiple music files to one gymnast

  • Primary music selection - Choose which file is the default/primary music

Music Assignment Process:

  1. Click Add Music in the music section

  2. Choose from two options:

    • Select existing - Pick from already uploaded club music files

    • Upload new - Add a new MP3 file to your club library

  3. Once attached, set one file as the primary music file

  4. The primary music file will be used when registering for meets

Meet Registration Integration:

  • Primary music files are automatically included during meet registration

  • Music requirements and deadlines are enforced based on meet settings

  • Organizers can access and download registered gymnasts' music files

Deleting a Gymnast

Delete Process

  1. Select one or multiple gymnasts using the checkboxes in the table

  2. Click Delete Selected in the header area

  3. Confirm the deletion in the popup dialog

Important Notes:

  • Deleted gymnasts are permanently removed from your club roster

  • All scores and routine videos will be deleted permanently

  • This action cannot be undone

  • Consider the impact on any pending meet registrations

Saving Changes

  1. Make all desired changes across the three sections

  2. Click Save in the top-right corner of the page

  3. A success message confirms the update
