Edit coach details, manage identifiers, custom fields, and keep roster information up to date.

Edit individual coach information, manage identifiers, custom fields, and maintain accurate roster data.

Accessing the Edit Interface

From the Coaches Table

  1. Navigate to Participants > Coaches in your club dashboard

  2. Use the search and filter options to find the coach you want to edit:

    • Search by name - Type in the coach's first or last name

    • Filter by level - Select specific coach levels

    • Filter by club - Show coaches from specific clubs

  3. Click the Edit button on the coach's row in the table

Edit Interface Overview

The coach edit page contains three main sections:

1. Information Section

Edit the coach's core personal and professional information:

Editable Fields:

  • First Name - Coach's given name

  • Last Name - Coach's surname

  • Club Name - The club the coach represents

  • Level Name - Coach level (e.g., "FIG", "Level 1", "Assistant Coach")

  • Email - Contact email address

  • Phone Number - Contact phone number

Default Values for Meet Registration: The coach data stored here, including the name, club name, level name, and other details, serves as default values when registering for meets. However, these can be overridden during the registration process without modifying the central club coach data. This allows you to quickly prepare all your coaches for a meet while making meet-specific modifications as needed. This is especially important for coach levels - coaches have a default level, but if a meet doesn't contain a matching coach level name, you'll need to manually specify the appropriate level from the meet's available coach levels during registration.

2. Identifiers Section

Manage official and custom identification numbers:

Standard Identifiers:

  • Gym Art Number - Unique system-generated ID within the Gym Art ecosystem

  • USAG Number - USA Gymnastics membership number (if applicable)

  • FIG Number - International Gymnastics Federation number (if applicable)

Custom IDs:

  • Click Add ID to create custom identification fields

  • Name Field - Label for your custom ID (e.g., "State ID", "Certification Number")

  • Value Field - The actual ID number or code

Example Custom IDs:

  • State coaching certification numbers

  • Regional association membership IDs

3. Custom Fields Section

Manage meet-specific or organizational custom data fields:

Custom Fields Management:

  • Pre-configured fields - Fields that may be required by specific meets or organizations

  • Flexible data storage - Store additional coach-related information

  • Meet integration - Fields that may be used during meet registration

Common Custom Field Examples:

  • Shirt size preferences

  • Dietary restrictions or allergies

Deleting a Coach

Delete Process

  1. Select one or multiple coaches using the checkboxes in the table

  2. Click Delete Selected in the header area

  3. Confirm the deletion in the popup dialog

Important Notes:

  • Deleted coaches are permanently removed from your club roster

  • This action cannot be undone

Saving Changes

  1. Make all desired changes across the three sections

  2. Click Save in the top-right corner of the page

  3. A success message confirms the update
