This section covers the core registration settings that control how gymnasts register for your meet. These settings affect the registration form, validation logic, pricing strategy, and participant eligibility requirements.

Registration Visibility Controls

Open Registration

Controls whether clubs can find and register for your meet in the Gym Art app.

Settings:

• Open: Other clubs can discover your meet and submit registrations

• Closed: Meet is hidden from public discovery but can still be accessed with password

Impact: Affects meet discoverability in the Gym Art app and registration availability.

Pricing Strategy

Use Same Price for All Levels

Sets whether all gymnast levels have identical registration fees.

Settings:

• Enabled: Single price applies to all competition levels

• Disabled: Each level can have its own custom price

Impact: Simplifies pricing structure or allows level-specific pricing strategies.

Registration Price

Base price for gymnast registration when global pricing is enabled.

Validation:

• Must be a positive number

• Used as the standard price for all gymnasts when global pricing is active

Impact: This price is charged to all gymnasts when "Use Same Price for All Levels" is enabled.

Registration Management

Registration Deadline

Final date when regular registration closes.

Impact:

• After this date, late fees may apply or registration may close entirely

• Must be set before the meet start date

Validation: Date must be before the meet start date.

Maximum Gymnasts in Meet

Optional limit on total gymnast registrations.

Settings:

• Enabled: Sets hard cap on total participants

• Disabled: No limit on participant numbers

Impact: Registration closes automatically when limit is reached.

Participant Eligibility

Minimum Age

Optional minimum age requirement for gymnasts.

Impact:

• Filters out younger participants during registration

• Must be less than maximum age if both are set

Validation: Must be less than maximum age when both are enabled.

Maximum Age

Optional maximum age limit for gymnasts.

Impact:

• Prevents older participants from registering

• Must be greater than minimum age if both are set

Validation: Must be greater than minimum age when both are enabled.

Event Configuration

Meet Currency

Currency used for all financial transactions.

Options:

• CAD (Canadian Dollar) - automatically selected for Canadian meets

• USD (US Dollar) - used for US and international meets

Impact: Affects all pricing displays and payment processing throughout the platform.

Year Start

Defines the competition year for age calculations.

Impact:

• Determines how athlete ages are calculated for level eligibility

• Format: Month and day (e.g., January 1st)

Usage: Used to determine which age groups athletes qualify for based on their birth dates.

Meet Timezone

Timezone for all meet scheduling and deadlines.

Impact:

• Affects deadline calculations and display times

• Ensures consistent timing across different geographic locations

Usage: Critical for international meets with participants from multiple timezones.

Music Requirements (WAG/WAG+ only)

Require Floor Music

Controls whether gymnasts must specify a primary music file during registration for their floor exercise routines.

Settings:

• Enabled: Music selection becomes mandatory during registration - gymnasts must specify a primary music file from their club's available music library

• Disabled: Music selection is optional during registration

Impact:

• Registration Blocking: If enabled, gymnasts cannot submit their registration without specifying a primary music file

• Club Music Integration: Gymnasts select from music files already uploaded to their club's music library in the Gym Art system

• Competition Preparation: Ensures all floor routines have accompanying music files ready for competition

Important Notes:

• This setting only applies to Women's Artistic Gymnastics (WAG) and WAG+ disciplines

• Music files must be uploaded to the club's music library before gymnasts can select them

• The selected music file becomes the primary music for that gymnast's floor routine

Music Deadline

Final date until which music file selections and modifications can be made for registered gymnasts.

Settings:

• Sets the last date when music files can be changed or updated

• After this date, music selections are locked and cannot be modified

Impact:

• Modification Window: Until this deadline, both gymnasts and meet organizers can modify the selected music file for any registered participant

• Post-Acceptance Changes: Meet organizers retain the ability to change music files even after gymnasts have been accepted into the meet

• Final Lock: After this date, no further music modifications are permitted, ensuring stable competition preparation

• Must be set before the meet start date

Validation: Date must be before the meet start date.

Usage Scenarios:

• Meet organizers can update music selections if better quality files become available

• Last-minute changes can be accommodated before the deadline

• Ensures all music is finalized well in advance of the competition

Where Settings Are Displayed and Their Impact

Registration Form Display

All gymnast registration settings are displayed and enforced in the registration process during the registration process:

Registration Form Interface

• Field Visibility: Settings control which fields appear in the registration form (e.g., music selection only shows for WAG/WAG+ disciplines)

• Validation Requirements: Real-time validation prevents form submission if requirements aren't met

• Pricing Display: Registration fees and late fees are calculated and displayed based on pricing settings

Registration Submission Impact
